    Regional Admin Coordinator

    Full Time $25- $26/hr

    The Specialized Recruiting Group is looking for Regional Admin Coordinator .

    Regional Admin Coordinator / Charlotte, NC -$25hr-$26/hr./ Ft position (evaluation to hire)

    This position will work with a local manufacturer to build and provide lasting partnerships with customers, clients, and team. The mission of the Regional Admin Coordinator is to provide administrative and accounting support to the clients, customers, and internal departments. Manage vendors and maintain calendar management for dispatch, field service repairs and preventative maintenance of compressed air equipment, vacuums, dryers. Also, have flexibility to travel about 10% to Southeast locations .

    Regional Admin Coordinator:

    • Answer incoming Service Department calls.
    • Set up new customers, including credit applications, credit card authorizations, A/P setup, defining bill-to information, sending start-up letter, etc.
    • Accounts receivable with reconciliations, collections, and liens
    • Schedule service jobs upon receipt of customer purchase orders.
    • Open, dispatch, and schedule all shop and field service repairs in computer system
    • Place orders for parts required to complete service orders, and work to expedite the delivery of these orders, as needed.
    • Maintain weekly technician service schedule and communicate to technicians.
    • Provide prompt response and regular updates to customers.
    • Maintain and update scheduled service orders in computer system
    • Contract management
    • Facilitate the closing of service orders approved for invoicing.
    • Prepare credit notes and manual invoices for review by the Service Manager.
    • Utilize the Salesforce system for letters as needed.
    • Maintain service files - open orders, customer history, and expense reports.
    • Prepare outgoing mail and overnight mail packages.
    • Coordinate travel arrangements for Service Technicians, as well as local/regional service meetings and training courses.
    • Coordinate installation of new compressed air equipment with Sales.
    • Contribute to positive Company branding by projecting a knowledgeable, professional, and customer-oriented image to customers.
    • Perform all duties in accordance with standards, while always striving to understand the needs and expectations of the customer.
    • Take whatever action is appropriate and required to get the job done and to establish and maintain communications with all people/employees considered necessary to get the job done.
    • Cross-train on Internal Service Coordinator duties and serve as their backup as well as cross training with Service Technicians.

    The Ideal Candidate

    • High School diploma or equivalent required; Associate degree in relevant field preferred.
    • Service coordination experience in an industrial service industry preferred. Job Knowledge, Skills, and Abilities:
    • Knowledge of parts and maintenance/repair for air compressors or similar machinery preferred.
    • Must be able to work independently and have excellent organizational, interpersonal, verbal, and written communication, and problem-solving skills.
    • Must be able to manage multiple priorities with flexibility, a positive attitude, and a strong commitment to customer service.
    • Must be proficient in Salesforce/ MS Excel (v look ups and pivot tables)
    • Experience with BPCS and/or MAM preferred.

        Specialized Recruiting Group is looking for an Internal Parts Coordinator position. This position is an evaluation to perm hire. Full time/benefits

        Responsibilities:

        • Coordinate and facilitate all returns, including oil sample returns. Work to proactively secure parts and close out RTN jobs.
        • Create and submit credit requests.
        • Open, dispatch, and schedule all non-productive activities for technicians; close out once completed and follow up as necessary.
        • Maintain and submit weekly service technician utilization reports.
        • Facilitate accurate time keeping records for technicians to submit to payroll.
        • Track and update technician vacation and sick time in the Vacation and Sick Database.
        • Update and track technician training records in the training database.
        • Coordinate accommodations and travel arrangements for training, meetings, special events, etc. as necessary.

          Production Coordinator Responsibilities:

          • Review contracts and orders and coordinate with the internal team and input order into the Production Schedule using MS Excel
          • Coordinate with Production Manager, Sales Manager or General Manager for product inventory for job orders scheduled.
          • Confirm customer scheduled appointments
          • Assign jobs to technicians and contractors daily.
          • Provide status on daily appointment as well as communicating with internal departments.
          • Review completed jobs and entered company system along with purchase orders and invoices.
          • Create PO for the subcontractor based on the subcontractor's Work Completion/Pay Request. Ensure all draws are accurately deducted, that extra pay is approved by the Production Manager. Make 3 copies 1 for file, 2 for AP department to be delivered on Thursday.
          • Complete all POs for Subcontractor pay by noon on Thursdays and communicate any special situations to the Accounts Payable Department.
          • Assist in interviewing Subcontractor applicants, obtain accurate I-9, Signed Subcontractor Agreement, all contact information, and a certificate

          Minimum Requirements:

          • 2-3 years' experience in dispatching.
          • Proficient in MS Suite (Excel/Outlook) and QuickBooks
          • Must be able to multitask in fast paced environment

          • Reviews simpler, more standard customer invitations to bid, including RFQs and specifications when provided; confirms the bid due date to insure timely response
          • Seeks guidance from Application Engineers or others to properly interpret bid or specification requirements when there are questions
          • Develops estimated freight cost using appropriate shipment method to maximize freight yield; seeks guidance from others when there are questions
          • Generates quotations and commission schedules from company quotation system
          • Emails quotation and agent commission schedule to the appropriate agent office
          • Collects and organizes all bid documents and files in the current month folder
          • Follows up with appropriate agent office to determine bid outcome; updates quotations in quotation system for bid outcome when received
          • Responds to customer service inquiries, including order status, scheduled ship dates and freight carrier details for shipments in transit or previously delivered
          • Maintains the Extended Warranty spreadsheet and generates warranty documents with signatures for transmission to the appropriate agent office
          • Schedules field commissions and coordinates between customers and field personnel; makes travel arrangements for field personnel
          • Demonstrates a basic working knowledge of company products, markets and agency territory and customers
          • Ability to understand company sales and marketing policies and procedures, including terms and conditions, return material authorization, field service policy and order cancellation policy
          • Special projects as requested by the National Sales Manager or management
          • Assist with duties to support the National Sales Manager or management

          Proposal Administrator Requirements:

          • A four-year degree in either Marketing or General Business preferred but not required
          • Two + years of inside sales or comparable customer service experience
          • Ability to prioritize and multi-task in a fast-paced environment
          • Able to meet critical deadlines
          • Detailed oriented with good organizational skills
          • Excellent oral and written communication skills
          • Working knowledge of Microsoft Suite
