Express Employment is looking for an Administrative Assistant. This position does not start until January of 2026.
The Administrative Assistant provides essential administrative, clerical, and organizational support to ensure the efficient operation of the company. This role supports day-to-day office functions, maintains accurate records, coordinates communication between departments, and assists with regulatory documentation.
Work Hours: Monday – Friday 8:30 A.M. – 4:30 P.M., work hours may vary
Pay: $18/Hour

Job Description:
Administrative & Office Support
• Manage front-office activities, including answering phones, greeting visitors, and handling incoming mail and deliveries.
• Prepare, edit, and distribute documents such as memos, reports, meeting minutes, and correspondence.
• Maintain organized filing systems—digital and physical—including regulatory records, maintenance logs, and safety documentation.
• Monitor and order office supplies, uniforms, and facility materials.
Operational Support
• Assist plant operations staff by coordinating work orders, scheduling maintenance, and tracking completion.
• Support compliance teams by compiling data, updating spreadsheets, and preparing documentation for environmental and regulatory reporting.
• Assist with procurement by obtaining quotes, creating purchase orders, and tracking invoices.
• Coordinate meetings, training sessions, and safety briefings; prepare agendas and materials as needed.
• Enter work orders and track progress from initiation to completion.
• Assist field staff by preparing service paperwork, obtaining customer authorizations, and confirming appointments.
• Maintain logs, spreadsheets, and simple reports for operational or compliance needs.
• Serve as a point of contact for customers, vendors, contractors, and municipal partners.
• Respond to customer inquiries regarding service, billing, and general information, routing issues to the appropriate department.
• Maintain accurate customer account information, work orders, and service records.
• Record payments, issue receipts, and ensure accurate entry into billing and accounting systems.
• Other duties as assigned.
Financial & Billing Support
• Process invoices, receipts, and expense reports with attention to accuracy and compliance.
• Assist the accounting department with billing, payment tracking, and basic data entry.
• Reconcile vendor accounts and monitor due dates to ensure timely payment.
Requirements and Qualifications
• 2+ years of recent administrative experience.
• Proficiency in Microsoft Office (Word, Excel, Outlook) and basic database use.
• Quick Books experience is a plus but not required.
• Strong organizational and multitasking abilities.
• Excellent verbal and written communication skills.
