Front Office Coordinator
Location: Redding, CA
Schedule: Full-Time, Monday-Friday, 8:00 AM - 5:00 PM (1-hour lunch)

We are seeking a proactive, detail-oriented, and customer-focused Front Office Coordinator to manage front office operations and provide essential support to our recruiting team.

Position Overview:

The Front Office Coordinator serves as the first point of contact for associates and clients, ensuring a welcoming and professional office environment. The ideal candidate will have at least 2 years of experience in administration and customer service. A valid driver’s license is required, as this role may include occasional office errands during work hours. Bilingual skills are preferred but not required.  YOU MUST HAVE WORKED IN AN OFFICE SETTING PREVIOUSLY TO QUALIFY FOR THIS POSITION.

Key Responsibilities:

  • Greet associates and clients with a warm and professional demeanor, ensuring an excellent first impression.
  • Answer and route phone calls efficiently, addressing inquiries when appropriate.
  • Schedule candidate interviews, client meetings, and manage the office calendar.
  • Conduct I-9 verifications and ensure all onboarding documentation complies with federal and state regulations.
  • Process new hire electronic paperwork accurately and in a timely manner.
  • Maintain organized filing systems for personnel files, job orders, and other critical documents.
  • Support recruiters by sourcing candidates, screening resumes, and scheduling interviews.
  • Prepare and distribute onboarding materials for new hires and temporary associates.
  • Perform office errands during work hours, such as delivering documents or picking up supplies.
  • Perform routine audits of employee files and office systems to maintain accuracy and compliance.
  • Maintain and update the applicant tracking system (ATS) with accurate and current information.
  • Conduct pre-employment drug screenings.
  • Maintain the lobby in a neat and orderly fashion, including visitor reading materials.
  • Perform other duties as assigned by the direct supervisor.

Qualifications:

  • Minimum of 2 years of experience in administrative and customer service roles (previous customer interaction experience required).
  • Strong organizational skills and attention to detail...MUST have excellent time management skills.
  • MUST be able to multitask and work in a high-volume environment...MUST know how to prioritize responsibilities.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with applicant tracking systems or databases is a plus.
  • Valid driver’s license and reliable transportation (required).
  • Strong grammar and spelling skills are a must.
  • Positive attitude, problem-solving mindset, and a proactive approach to work...MUST be able to interact and manage people with diverse backgrounds.
  • Bilingual (Spanish/English) preferred but not required.
  • Previous experience processing I-9 verifications is helpful.

Compensation & Benefits:

  • Pay is based on experience. Starting wage is $20.00-$22.00/hr (DOE)with an evaluation after 90 days. This role is given the opportunity to also generate commission & bonuses after the probationary period. 
  • Comprehensive benefits package available, including health, dental, and 401k with a 5% match + Aflac plans after probationary period.
