Job Full Description

We are seeking a detail oriented and dependable Administrative/Inventory Coordinator to support daily office and operational functions in a fast-paced cold storage warehouse environment. This role will play a key role in invoicing, billing, inventory tracking and more. We are looking for someone who is bilingual in English and Spanish and able to communicate with warehouse staff, vendors, and customers. 

Key Responsibilities: 

  • Prepare, review, and process customer invoices and billing accurately and on time
  • Manage Accounts Payable, including vendor invoices, purchase orders, and payment tracking
  • Utilize Microsoft Excel for reporting, data tracking, spreadsheets, formulas, and logs
  • Communicate clearly and professionally with warehouse staff, vendors, and customers in English and Spanish 

Qualifications: 

  • Previous experience in an administrative, accounting, or warehouse office role
  • Strong understanding of invoicing, billing, and accounts payable processes
  • Experience with inventory systems and data tracking
  • Ability to work independently and prioritize tasks in a fast-paced environment
