Position Summary
The Project Coordinator – Commercial is responsible for supporting the commercial and administrative execution of projects from order placement through close-out. This role plays a critical interface function between Project Management, Engineering, Vendors, and Finance, ensuring purchase orders, commercial terms, schedules, and vendor deliverables are properly coordinated.
The ideal candidate is highly detail-oriented, commercially astute, and possesses strong written and verbal communication skills. Experience in manufacturing, energy, construction, or industrial project environments is preferred.

Key Responsibilities
Commercial & Procurement
- Prepare and issue purchase orders in accordance with approved budgets and project requirements
- Negotiate commercial terms and conditions with vendors (payment terms, delivery schedules, warranty provisions, LDs where applicable)
- Coordinate milestone-based payment plans aligned with project cash flow
- Maintain accurate PO logs and change order documentation
- Assist with review of vendor proposals and commercial bid comparisons
Vendor Management & Expediting
- Serve as commercial liaison with vendors and suppliers
- Track vendor acknowledgements and compliance with contractual requirements
- Expedite long-lead equipment and components to support project schedules
- Coordinate with vendors regarding delivery updates and resolve commercial discrepancies
Scheduling & Project Support
- Assist in maintaining project schedules and milestone trackers
- Monitor procurement timelines and flag risks impacting delivery or cost
- Support project planning efforts with updated commercial status reporting
- Prepare weekly project status summaries related to procurement and vendor performance
Quality & Documentation
- Track submittals, quality documentation, certifications, and compliance records
- Maintain organized project files (commercial and technical documentation)
- Support document control processes for purchase orders, invoices, and vendor records
- Coordinate with Quality team to ensure required documentation is received prior to shipment
Administrative & Financial Coordination
- Coordinate invoice review and payment approvals
- Reconcile vendor billing with contractual terms
- Assist in budget tracking and reporting
- Support project close-out documentation

Required Qualifications
- Bachelor’s Degree in Business, Engineering, Supply Chain, or related field preferred
- 3–7 years of experience in project coordination, procurement, or commercial project support
- Strong understanding of commercial terms and conditions in industrial or project environments
- Experience with milestone payment structures and vendor negotiations
- Proficiency in MS Office (Excel, Word, Outlook); experience with ERP and MS Project systems preferred
