A property management company in Alhambra is looking for a new Bilingual Administrative Assistant to join their team!

 

As the Administrative Assistant, you will be assisting with data entry projects, auditing documents and policies for quality purposes, updating business licenses, as well as general office duties like answering the phone and tenant database maintenance.

 

Essential Duties:

  • Assist with audits for property taxes, insurance policies, billboard payments
  • On call 1 weekend a month, 3-4 holidays a year, and one weeknight a week - For emergency calls
  • Take the lead on special projects, such as making sure we are listed as additional insured in the loans or ensuring business licenses and state filings are current.
  • Assist in obtaining bids including meeting with contractors on-site
  • General office duties including filing, answering phones, writing letters, making notices, mailing projects, sorting mail
  • Create list of tenants who are due for rent increases
  • Follow up with Sect 8 on a monthly basis regarding any past due rent increases
  • Yardi software – adding charges, invoicing tenants, processing deposits, updating lease information
  • Oversee the vacancies including inspecting vacant units, meeting with contractors to obtain bids, inspecting the work done to the unit, creating marketing plan, ensuring it''s leased up in a timely manner, and showing vacancies.
  • Educate new tenants on the lease terms and assist with implementation/troubleshooting of online payment system for residential and commercial tenants.
  • Posting monthly rent charges, entering receivables, and scanning and uploading invoices.
  • Maintaining proper security of sensitive paperwork and conversations
  • Accounting assistance – bank reconciliation tasks, annual 1099/1098 tax filings,
  • Maintain amortization schedules for private loans.
  • Assist with tenant calls including maintenance requests and rent-related questions.

What We’re Looking for:

  • At least one year of office admin or property management experience is appreciated
  • Detail-oriented is a must!
  • Bilingual in Spanish and English (oral and written)
  • Computer literate – we use Yardi, Excel, Word, Outlook
  • Accounting data entry or bookkeeping experience is a plus
  • Driven and self-motivated individual
  • Flexible
  • On call for the following – one weekend a month, three to four holidays a year, and one weeknight a week. This is for when we receive emergency calls
  • Ability to multitask and prioritize
  • Reliable transportation to drive to properties or attend inspections
