Job Full Description
We are seeking a highly organized and detail-oriented Construction Office Administrator & Bookkeeper to manage day-to-day administrative and financial operations for our construction company. This hybrid role supports both office management and bookkeeping functions, ensuring smooth coordination between field teams, vendors, and clients. Ideal candidates will have experience in construction accounting, strong administrative skills, and the ability to thrive in a fast-paced environment.
Key Responsibilities
Bookkeeping & Financial Management
- Manage accounts payable and receivable, including invoice processing and payment tracking
- Reconcile bank statements, credit card transactions, and vendor accounts
- Prepare financial reports, job cost summaries, and budget tracking
- Maintain accurate records in accounting software (e.g., QuickBooks, Sage, or similar)
- Assist with payroll processing and employee time tracking
- Support tax preparation and liaise with external accountants as needed
Administrative Support
- Handle incoming calls, emails, and correspondence professionally
- Maintain organized filing systems for contracts, permits, and project documentation
- Schedule meetings, inspections, and coordinate with subcontractors and suppliers
- Order office and job site supplies, ensuring timely delivery and inventory control
- Prepare and submit permit applications and compliance documentation
- Support project managers with administrative tasks and reporting
Construction-Specific Coordination
- Track job costs, change orders, and billing schedules
- Monitor lien waivers, insurance certificates, and subcontractor documentation
- Assist with bid preparation and proposal formatting
- Maintain project calendars and deadlines
Required Skills & Qualifications
- 3+ years of bookkeeping or administrative experience (construction industry preferred)
- Proficiency in accounting software (QuickBooks, Sage, or similar)
- Strong knowledge of Microsoft Office Suite (Excel, Word, Outlook)
- Familiarity with construction terminology, billing practices, and compliance requirements
- Excellent organizational and time management skills
- Strong attention to detail and ability to multitask
- Professional communication skills, both written and verbal
Preferred Qualifications
- Experience with job costing, progress billing, and estimating
- Knowledge of local permitting processes and construction documentation
- Associate’s degree or higher in accounting, business administration, or related field
