We are seeking a highly organized and proactive Construction Administrative Assistant to support day-to-day operations across multiple construction projects. This role is essential to maintaining smooth communication between field teams, vendors, clients, and internal departments. The ideal candidate has strong administrative skills, attention to detail, and a working knowledge of construction processes and documentation.


Key Responsibilities

Project & Office Administration

  • Prepare, organize, and maintain project documentation, including contracts, permits, RFIs, submittals, and change orders
  • Track project timelines, deliverables, and deadlines using project management software
  • Assist with scheduling meetings, site visits, and inspections
  • Maintain digital and physical filing systems for easy access and compliance

Communication & Coordination

  • Serve as a liaison between project managers, subcontractors, suppliers, and clients
  • Respond to inquiries and provide updates on project status and documentation
  • Coordinate delivery schedules, material orders, and vendor communications
  • Support internal reporting and ensure the timely submission of required forms

Financial & Compliance Support

  • Assist with invoice processing, expense tracking, and purchase orders
  • Monitor budget documentation and support cost control efforts
  • Ensure compliance with safety regulations, insurance requirements, and licensing
  • Help prepare documentation for audits and regulatory reviews

Required Skills & Qualifications

  • High school diploma or equivalent; associate degree or higher preferred
  • 2+ years of administrative experience, ideally in construction or a related industry
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and project management tools (e.g., Procore, Buildertrend, or similar)
  • Strong organizational and multitasking abilities
  • Excellent written and verbal communication skills
  • Ability to work independently and manage multiple priorities
  • Familiarity with construction terminology and documentation

Preferred Qualifications

  • Experience supporting field teams or project managers in a construction setting
  • Knowledge of lien waivers, compliance tracking, and subcontractor onboarding
  • Bilingual (English/Spanish or other languages) is a plus
  • Familiarity with accounting software (e.g., QuickBooks, Sage)
