Job Summary:
We are seeking a detail-oriented and highly organized Assistant Property Management/Administrative Assistant to join our team. The ideal candidate will support day-to-day operations of property management activities while delivering outstanding customer service to tenants, vendors, and prospective residents.
This role is ideal for someone with experience in administrative tasks, property management support, and strong communication skills.
Key Responsibilities:
- Assist the Property Manager in daily operations, including tenant communications, lease renewals, and move-in/move-out coordination.
- Handle incoming calls, emails, and in-person inquiries in a professional and friendly manner.
- Prepare and maintain leasing documents, reports, and records.
- Coordinate maintenance requests and follow up with vendors and contractors.
- Maintain updated tenant files, including lease agreements and payment records.
- Track rent payments and send reminders for outstanding balances.
- Support with marketing vacant units (posting ads, scheduling showings, etc.).
- Assist with general office duties such as filing, scanning, data entry, and mail handling.
- Ensure compliance with property management regulations and company policies.
Qualifications:
- Previous experience in property management, real estate, or administrative support preferred.
- Strong customer service and communication skills (written and verbal).
- Proficient in Microsoft Office (Word, Excel, Outlook); experience with property management software is a plus.
- Highly organized, detail-oriented, and able to manage multiple tasks simultaneously.
- Bilingual (English/Spanish) is a plus.
- High school diploma or equivalent required; associate’s degree preferred.
