Job Summary
We are seeking a professional, detail-oriented Front Office Coordinator to join an HR and staffing franchise in an entry-level role. This position is ideal for individuals looking to begin a career in human resources, recruiting, or office administration. As the first point of contact for candidates, clients, and visitors, you’ll support daily operations, maintain a polished front office, and contribute to a high-quality service experience while developing core HR competencies.
Key Responsibilities
Candidate & Client Experience
- Greet walk-in candidates, clients, and visitors with professionalism and warmth
- Answer incoming calls, respond to inquiries, and direct calls to appropriate team members
- Assist with interview scheduling, appointment confirmations, and calendar coordination
- Maintain a clean, organized, and welcoming reception area
Administrative & HR Support
- Support onboarding activities, including application intake, document collection, and I-9 verification
- Perform basic data entry, filing, and record maintenance in HRIS or applicant tracking systems
- Manage incoming mail, deliveries, and office supplies
- Assist with the preparation of reports, meeting materials, and internal communications
Operational Coordination
- Communicate with recruiters and account managers to ensure smooth candidate flow
- Help maintain compliance with documentation and confidentiality standards
- Monitor office systems and report issues to management
- Uphold brand standards and contribute to a positive team culture
Required Skills & Qualifications
- High school diploma or equivalent
- No prior office experience required
- Strong verbal and written communication skills
- Basic computer proficiency (Microsoft Office, email, internet navigation)
- Ability to multitask, stay organized, and work independently
- Professional appearance and customer-focused mindset
- Prior experience in customer service, hospitality, or office services is preferred
