Accounting Clerk
Job Summary:
The Accounting Clerk provides financial, administrative, and clerical support directly to the Chief Executive Officer, ensuring accurate and timely handling of company financial transactions. This position assists with daily accounting activities, bank reconciliations, pricing and rebate tracking, and reporting functions that support executive decision-making. The role requires professionalism, discretion, and consistent attention to detail.

Essential Functions
- Process and post all customer payments and accounts receivable to the proper accounts; research and resolve any discrepancies in a timely manner.
- Prepare and distribute invoices, statements, and customer correspondence through electronic and standard mail channels.
- Prepare daily or weekly accounting summaries and updates for review by the Chief Executive Officer.
- Monitor and collect outstanding receivables, including follow-up calls, collection letters, and payment status reporting.
- Enter vendor bills, reconcile statements, and prepare payments by check, phone, or wire transfer as directed.
- Maintain organized and accurate accounting records in QuickBooks, including deposit logs, journal entries, and reconciliations.
- Assist with monthly and quarterly rebate tracking, pricing updates, and related reporting for Sales and Operations.
- Prepare and file monthly sales tax returns for company entities and maintain documentation for audit readiness.
- Support general ledger maintenance, balance sheet review, and month-end closing activities.
- Maintain customer and vendor records, including W-9s, banking correspondence, and communication logs.
- Respond to internal and external inquiries related to billing, payments, and pricing discrepancies.
- Assist with inventory verification, product pricing audits, and data entry during scheduled reviews.
- Provide administrative support to the Accounting Department, including filing, record retention, and answering phones when needed.
- Maintain a clean, organized, and professional accounting work area.
- Participate in meetings, training, and special projects as assigned by the Chief Executive Officer.
Education and Experience:
- High School Diploma or General Education Degree (GED) and previous experience in bookkeeping or entry level accounting required.
- Minimum of 2 years of experience in an accounting or bookkeeping role.
- Proficient in accounting software (e.g., QuickBooks, SAP) and Microsoft Office Suite, particularly Excel.
