Our client is a well-established and growing precision metals manufacturing company with 20,000 plus sq. ft. under air conditioning located in Sarasota/Lakewood Ranch area. We are seeking an initiative-taking person due to growth. Client prides itself in having a stable and long-tenured team which is a key component to our success. The successful candidate will interact daily with customers, providing information regarding their orders, resolving problems, setting appropriate expectations and providing a high level of service.  In addition, this individual will be the key person handling purchasing.  Engaging with all individuals at our company including Quality, Manufacturing Machinists, Engineers, Senior Managers etc. will be part of day to day activity. Above all, we seek flexibility and a ‘can do’ attitude.  Working as a team, the goal is to meet and exceed customer expectations 100% of the time.    

 

Minimum Qualifications

  • The ideal candidate will have work experience in a fast-paced environment, where high attention to detail and accuracy are needed. Candidates may come from a variety of business types but any experience in a manufacturing office setting is seen as favorable.
  • Any previous experience purchasing raw materials, office supplies and dealing with external vendors is desired.
  • Exceptional attention to detail and accuracy is needed for success.
  • A natural appreciation for and desire for organization.
  • Strong aptitude for working with numbers and large amounts of data. Both accuracy in replicating alpha and numeric sequences as well as general arithmetic with an ability to add, subtract, multiply, divide and work with decimals and fractions are essential to this role. Basic Excel skills with the ability to create arithmetic formulas is needed.
  • A customer service mindset with an ability to listen, solve problems and be responsive.
  • A proven ability to work in a deadline driven environment as evidenced by past work experience. This requires a strong bias toward taking action and getting things done efficiently and accurately.
  • A proactive and positive approach to one’s work. Candidates will have examples of past work experiences demonstrating problem solving, thinking ahead and finding new and improved ways of doing things.
  • Strong comfort with technology and prior experience with Microsoft Office (Word and Excel are essential). Any experience with QuickBooks or other business database system is seen as a plus.
  • Effective communication skills and a willingness to speak with and correspond via email with customers, vendors and internal colleagues. It is expected that errors with spelling, grammar and punctuation are minimized by proofreading one’s work.
  • Excellent judgement and the ability to make decisions is needed.

Responsibilities include but are not limited to the following:

  • Request quotes from vendors detailing the specifics of clients/projects needs. This may include researching the specific request to better understand what is needed. Reviewing technical drawings to understand measurements and calculate needed quantities.  Review quotes and work with vendors to procure raw materials, tooling and other needed supplies. Create detailed and accurate purchase orders; monitor orders and be proactive in reaching out to vendors with any issues and delays. Develop strong relationships with vendors and when needed, seek out new sources of needed supplies.
  • Receive and review customer orders. This entails complete review and validation of the order, review of the technical print and determining material requirements. Requesting any additional details or clarification from the customer and consulting with manufacturing if needed. Enter orders into Quickbooks and set up Work Orders using clients production system, review and ensure accuracy.
  • Monitor customer orders, answer ongoing customer questions, be proactive in identifying any potential issues and producing a resolution.
  • Developing and delivering key reports to customers and management regarding production activity, order status utilizing clients proprietary production system and Excel.
  • When needed, assist with counting parts that are coming from manufacturing, providing Quality with needed parts and documents to perform quality inspection. Accurately document all necessary information.
  • Receive material, supplies and other deliveries. Generate identification labels linking all materials to appropriate work orders.
  • Assist with continual organization of the office.

This position is in Sarasota, and we are seeking someone who is located within an easy commute to the office. This position is Monday-Friday (no weekends) with hours of 7am-3:30 with occasional overtime requested.  THIS POSITION IS ON SITE AND NOT REMOTE.
