General Job Description
Assist the management leadership of Island House in achieving the business goals in the areas of operations and accounting processes, recordkeeping, reservation processing and general support as directed by the Client Services & Accounting Manager.
This is a key position reporting directly to the Client Services & Accounting Manager with primary responsibilities in business operations recordkeeping and processing and further responsibilities in rental processes support.
Major Duties & Responsibilities
- Operations and Accounting Processing, Recordkeeping & Support
- Accounts Payable processing and payments management.
- Process all vendor invoices through Bill.com system.
- Vendor quoting as requested.
- Accounts Receivable and Cash Receipts processing, recordkeeping and control.
- State & Local Government Sales & Occupancy Reporting.
- Complete sales tax and other filings correctly and on a timely basis.
- Owner Recordkeeping
- Organize and control documents supporting owner payments of assessments and maintain accounts by owner.
- Rental Business Reporting and Recordkeeping
- Assist in the recording of rental transactions and owner payment processing.
- Prepare weekly/monthly reports on revenue, occupancy, and expenses in Excel or Google Sheets.
- Document Control
- Rental Reservations Support
- Coordinate check-ins/check-outs, resolve guest concerns or conflicts, and ensure a 5-star experience from booking through departure.
- Property & Reservation Management
- Utilize short term rental processing systems (Escapia) to record and manage reservations.
- Monitor booking channels (Airbnb, VRBO, Booking.com) to optimize occupancy and rates.
- Guest Relations & Communication
- Respond to guest inquiries via email, phone, and messaging platforms using proper business correspondence.
Other Duties & Responsibilities
- Team Collaboration
- Work effectively with outside servicers, maintenance contractors, and fellow office staff—both in person and in virtual group meetings—to achieve daily and weekly goals.
- Time & Project Management
- Prioritize competing tasks and deadlines across multiple properties, ensuring on-time completion of rental turnovers, guest communications, and reporting.
Qualifications
- Experience in bookkeeping and accounting processes.
- Experience in short-term rentals, hospitality, customer service, property management, or related fields.
- Proficiency with Microsoft Office suite and Google Workspace tools
- Excellent written and verbal communication skills, including business correspondence etiquette.
- Collaborative team player who works effectively in group settings.
Preferred Skills & Knowledge
- Familiarity with QuickBooks a plus.
- Bilingual in Spanish (spoken and written)
- Experience with PMS software (Escapia)
- Knowledge of local rental regulations and compliance
