Concrete Office Administrator 
Pay: $25.00-$30.00+ B.O.E 

Location: Cicero, IL 

 

Position Summary

We’re looking for an experienced, reliable Office Manager with a strong background in the concrete or construction industry. The ideal candidate will be highly organized, confident with concrete industry terminology, and ready to jump right into a fast-paced workday. Strong QuickBooks experience is essential. This role will serve as the operational backbone of the office, supporting job scheduling, billing, payroll coordination, and vendor/client communication.

Key Responsibilities

  • Manage daily office operations, prioritizing accuracy and efficiency in a dynamic construction environment

  • Process accounts payable/receivable and job costing in QuickBooks Desktop/Online

  • Prepare invoices, track payments, and manage collections follow-ups

  • Coordinate job scheduling with field crews and clients, ensuring seamless communication

  • Maintain organized project files, contracts, permits, and compliance records

  • Serve as the go-to liaison between the office, field personnel, suppliers, and customers

  • Oversee payroll processing in QuickBooks and coordinate employee documentation

  • Order office supplies, handle incoming calls, and manage general administrative duties

  • Provide administrative support to ownership and project managers as needed

Must-Have Qualifications

  • 5+ years office management experience in a concrete, asphalt, or construction industry setting

  • Fluent in construction and concrete industry terminology

  • Expert-level QuickBooks skills — able to handle job costing, payroll, AP/AR, and reporting

  • Highly organized and detail-oriented, with the ability to work independently

  • Strong written and verbal communication skills

  • Reliable, dependable, and able to manage a fast-moving, varied workload

Preferred Qualifications

  • Experience working for a family-owned or mid-size contractor

  • Familiarity with city permit processes and compliance documentation

  • Previous experience with construction scheduling software or CRMs
