Purchasing Administrative Assistant

 

Our client in the Lincolnshire area is seeking an organized and detail-oriented individual who wants to be a part of a growing company within the automotive manufacturing industry. Position Highlights:

  • Onsite in Lincolnshire, IL
  • Schedule: Monday-Friday, 8:00AM-4:30PM
  • Temp to Hire
  • Pay: $18-21/hr+, based on experience

Position Responsibilities: 

  • Purchasing Support:
    • Assist with creating, confirming, and tracking purchase orders
    • Communicate with vendors to confirm order details and delivery timelines
    • Maintain accurate records of supplier information and product pricing
    • Help monitor inventory levels and reorder points by analyzing sales forecasts and historical usage
    • Support the Purchasing Manager with reporting and documentation
  • Accounting Support: 
    • Process and file vendor invoices and match them with purchase orders 
    • Assist with data entry for accounts payable and receivable 
    • Help reconcile statements and resolve discrepancies with vendors and customers
    • Maintain organized digital and physical records of financial documents
    • Support month-end and year-end closing activities
  • General Administrative Duties:
    • Answer phones and respond to emails related to Purchasing and Accounting
    • Maintain spreadsheets, databases, and filing systems.
    • Assist with internal audits and compliance documentation.
    • Perform other administrative tasks as needed to support the team.

Ideal Candidate: 

  • 1–3 years of experience in an administrative, purchasing, or accounting support role.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Excel and basic accounting software (e.g., QuickBooks, Sage).
  • Excellent communication and interpersonal skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Experience in a distribution or warehouse setting is a plus
  • Comfortable working with numbers and financial data.
