Administrative Assistant
Our client in the Libertyville area is seeking an Administrative Assistant to join their team. Work for an office that is an established company and involved in the insurance industry.
Position Highlights:
- Direct Hire
- $52k, based on experience
- Schedule: 8:30am-4:30pm, Monday - Friday
- Onsite in Libertyville, IL

Position Responsibilities:
Administrative Support
- Provide executive-level support to the Director of Corporate Services and the Leadership Team.
- Assist with travel planning and expense management (Concur).
- Prepare and edit correspondence, reports, presentations, and other documents using Microsoft Office and other productivity tools.
- Help track and report key departmental metrics and project milestones using Excel, SharePoint, and other systemic tools.
- Ensure office equipment and systems are functioning properly; troubleshoot minor technical issues before escalating.
Office Administration
- Manage reception duties: phones, greeting visitors, mail distribution, and office communications.
- Maintain office supplies and common areas (lobby, kitchen, conference rooms, supply room).
- Assist with procurement, vendor relations, and invoice processing using appropriate systems.
- Support office security and garage organization in collaboration with the IT Manager.
- Maintain and distribute corporate records and legal documents
Meeting & Event Planning/Communications Team Participation
- Coordinate internal and external meetings, off-site staff events, and employee recognition activities.
- Support planning for corporate events and meetings (Manage and Process contracts and applications e.g., credit card authorizations).
- Prepare project plans and budget tracking. Audit post-meeting invoicing.
- Assist with the development of communication for all meetings and oversight to all meeting materials, and coordination/ordering of ‘swag.
- Oversee and execute updates to the Member Portal, including: Monthly Member Directory, Member Agreements and Policies (annual and ad-hoc).
Ideal Candidate:
- 5 years of office experience, ideally working alongside executives
- Seeking candidates who are personable, communicative, and upbeat
- Microsoft Office experience needed (other technical skills highly preferred)
