Front Office Coordinator (FOC) – Express Employment Professionals

Pay: $17–$20 per hour, depending on experience
Schedule: Monday–Friday, 8:00am – 5:00pm
Location: Olathe, KS


Position Summary

The Front Office Coordinator (FOC) serves as the first point of contact for all associates, applicants, clients, and visitors entering the Express office. This role is essential in creating a positive and professional first impression, providing excellent customer service, and ensuring a smooth and efficient office workflow.

The FOC is responsible for answering and directing incoming calls, greeting and assisting applicants, coordinating onboarding activities, administering I-9 and E-Verify processes, and performing various administrative and operational support duties. This role requires strong computer skills, exceptional communication abilities, patience, professionalism, and the ability to work in a fast-paced environment.

 

Bilingual (English/Spanish) is strongly preferred.


Essential Responsibilities

Telephone & Front Desk Operations

  • Answer all incoming calls promptly and professionally using the approved greeting:
    “Thank you for calling Express Employment Professionals, this is ______.”
  • Determine the nature of each call and route it to the correct team member.
  • Record accurate messages and relay them promptly.
  • Handle candidate questions and concerns with patience and professionalism.
  • Greet all visitors and applicants with a friendly, welcoming demeanor.
  • Determine purpose of visit and direct applicants appropriately throughout the hiring process.

Applicant Processing & Onboarding

  • Provide and process employment applications, new-hire paperwork, and required onboarding documents.
  • Conduct and complete I-9 Employment Eligibility Verification in compliance with federal guidelines.
  • Perform all E-Verify submissions promptly and accurately.
  • Review applications for completeness and accuracy.
  • Administer and proctor skills evaluations, ensuring applicants understand instructions.
  • Maintain confidentiality of all applicant and employee information.
  • Assist candidates through the onboarding process with clarity and patience.

Administrative & Office Support

  • Provide general administrative support to the recruiting and sales team, including:
    • Typing correspondence and preparing documents.
    • Assisting with overflow or high-volume job orders.
    • Preparing and updating mailings and distribution lists.
    • Filing applications, job orders, and other documents.
    • Maintaining accurate records and reports as directed.
  • Collect associate timecards, distribute paychecks, and enter hours for payroll processing.
  • Ensure office supplies, onboarding forms, and materials are fully stocked.
  • Maintain a clean, organized, and professional office environment at all times.
  • Support walk-in candidates and route clients to appropriate team members promptly.

Other Duties as Assigned

  • Maintain professional office appearance in line with Express dress code:
    • Business casual preferred (slacks, skirts, dresses, sweaters).
    • Professional dress required on specific days or during special events.
    • Clean, neat jeans allowed Fridays only.
  • Participate in achieving overall office goals and supporting the Express mission.
  • Perform additional responsibilities as needed to support office success.

Skills & Qualifications

  • Strong customer service mindset with the ability to work professionally with a wide range of personalities.
  • Excellent verbal and written communication skills.
  • Strong computer proficiency (Microsoft Office, data entry, onboarding platforms).
  • Ability to multitask in a fast-paced, high-traffic environment.
  • Ability to work with minimal supervision and handle confidential information responsibly.
  • Basic math skills (addition, subtraction, multiplication, division).
  • High level of patience, empathy, and professionalism.
  • Bilingual English/Spanish is a strong plus.
  • Ability to learn new systems quickly, including message relay services if required.

Work Environment

  • Standard office setting with regular interaction with applicants, associates, and clients.
  • Must be able to work under routine daily deadlines and manage multiple time-sensitive tasks.
