Job Full Description
We are seeking an Administrative Assistant for a Public Accounting firm in Leominster, MA. This is a Direct Hire position. This role is responsible for managing front desk operations, scheduling, document preparation, and overall administrative workflow in a professional, fast-paced environment.
Responsibilities
- Greet clients and manage front office communications, including calls, emails, and scheduling
- Maintain digital and physical client files; ensure accuracy and confidentiality
- Prepare tax return packets, engagement letters, billing packets, and client correspondence
- Process incoming/outgoing mail, scanning, and document management
- Support accounts receivable: invoicing, payment processing, and client follow-up
- Assist with office supply orders, vendor relationships, and expense reconciliation
- Provide administrative support to CPAs and leadership on special projects, presentations, and reporting
Ideal Candidate
- Prior experience in an administrative support role, preferably in accounting, legal, or professional services
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with tax or accounting software is a plus
- Strong communication skills and professionalism when interacting with clients and staff
- Ability to manage multiple priorities and meet deadlines in a fast-paced office
- Discretion and respect for confidential information
