Job Full Description

We are actively seeking a Client Services Coordinator for our client, a legal firm in Acton, MA. This role support the firm’s client experience and growth by serving as a central point of contact for client relationships, engagement, and outreach.

 

Responsibilities:

Client Support

  • Serve as a welcoming first point of contact for prospective clients, gathering intake information with empathy and professionalism
  • Schedule attorney appointments, document all required details, and conduct follow-up calls to answer questions and support next steps
  • Clearly present and explain the firm’s services to help convert inquiries into consultations
  • Prepare client packets, worksheets, and meeting folders, ensuring accuracy, completeness, and readiness for attorney meetings

Client Relationship Management

  • Track and manage client milestones and follow-ups in the CRM, including birthdays and anniversaries
  • Conduct client check-ins, satisfaction surveys, and Google review requests

Event Coordination

  • Assist with planning, promoting, and supporting firm-hosted educational workshops and webinars
  • Manage event logistics and provide on-site support, including answering questions and scheduling appointments
  • Attend occasional evening or weekend events (approximately 2–3 times per month)

Community Outreach Support:

  • Maintain and update outreach databases
  • Research potential referral sources

Other Administrative & Client Support:

  • Provide additional support as needed to support daily office and business operations 

Requirements:

  • Associate or Bachelor’s degree required
  • 2+ years of experience in a professional office setting
  • Comfortable using CRM and scheduling systems (HubSpot experience a plus)
  • Proficient in Microsoft Office
  • Previous client service, administrative, or sales experience preferred
  • Strong communication skills, excellent organization, and a commitment to white-glove client service

This is a Direct Hire position. The hours are Mon-Fri 9 AM - 5 PM. The salary range is $52,000 - $58,000. If interested, please send resume to jobs.actonma@expresspros.com.
