Administrative Assistant
Wellesley, MA | Hybrid Schedule
Salary Range: $50K-$60K annually DOE
Established real estate advisory firm focused on affordable and mixed-income housing planning, development, and monitoring services throughout Massachusetts and New England.
This Administrative Assistant role supports affordable housing compliance, homeowner qualification, and resale coordination for regulated homeownership programs.
Responsibilities
- Assist with affordable housing qualification activities including application review, income verification, and compliance documentation
- Support resale and transaction coordination including disclosures, regulatory paperwork, and file tracking
- Review applicant files to ensure compliance with affordable housing program guidelines
- Coordinate property visits, take photos, and maintain accurate project and listing records
- Assist with annual homeowner certifications and ongoing monitoring activities
- Communicate with applicants, homeowners, attorneys, municipalities, and lenders regarding required documentation
- Facilitate resale and mini-lottery processes between buyers and sellers
- Prepare forms and maintain organized electronic files
- Track deadlines and maintain accurate reporting
Required Qualifications
- At least 2+ years of administrative, customer service or related experience required
- Strong attention to detail and ability to manage compliance-sensitive documentation
- Proficiency in Microsoft Word and Excel
- Valid driver’s license and reliable transportation required for property visits (mileage reimbursement provided)
Preferred Qualifications
- Real estate paralegal experience or Massachusetts real estate license preferred
- Exposure to affordable housing, housing lotteries, or regulatory real estate programs
- Familiarity with Spectrum affordable housing qualification standards
- Interest in working with municipalities, developers, and programs
The schedule for this position is Monday-Friday, 9AM-5PM. This is a hybrid role with 2 days in-office and 3 days remote. This is a Direct Hire opportunity.
