Our client, a non-profit organization in Detroit, is looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers. The Executive Assistant’s responsibilities include managing calendars, making travel arrangements and scheduling meetings. To be successful in this role, you should be well-organized, have great time management skills, be able to act without guidance and be experienced with the Microsoft Office Suite, particularly Outlook. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members. Responsibilities of the Executive Assistant
- Provides administrative support for the executive staff, primarily the CEO
- Schedule, arrange and coordinate meetings, appointments, travel and events for executives.
- Record, compile, transcribe and distribute minutes of meetings
- Prepare and modify documents including correspondence, reports, drafts, memos and emails
- Provide support in a variety of capacities including reports, record keeping, presentation generation, database management, data collection, program monitoring assistance, etc.
- Ensure accurate data entry into data systems and excel spreadsheets for the executive team
- Act as an office manager by keeping up with office supply inventory
- Coordinate staff training and related activities on software and other computer related skills as needed, with grantee, IS department and others.
- Ensure that all copy and fax machines are supplied with paper and toner, and that all executive staff have the requisite office supplies
- Assist with ordering supplies and equipment and preparing procurement information as necessary
- Organize and maintain the office filing system
Skills
- Work experience as an Executive Assistant, Personal Assistant or similar role
- Excellent MS Office knowledge particularly Outlook
- Outstanding organizational and time management skills
- Familiarity with office gadgets and applications (e.g. e-calendars and copy machines)
- Excellent verbal and written communications skills
- Discretion and confidentiality
- High School degree required associates or bachelors degree preferred
Job Type: Full-time
Salary: $19.00 to $23.00 /hour
