We are seeking a highly organized and personable Office Administrator / Receptionist to join our team. This dual-role position is responsible for ensuring the smooth day-to-day operations of the office while also serving as the first point of contact for visitors and callers. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks efficiently with a positive attitude.
Key Responsibilities:
Reception Duties:
- Greet and welcome visitors in a professional and friendly manner
- Answer, screen, and forward incoming calls
- Manage the reception area to ensure it is tidy and presentable
- Handle incoming and outgoing mail, deliveries, and packages
- Maintain visitor logs and issue visitor badges
Administrative Duties:
- Manage office supplies and inventory; place orders as needed
- Assist with scheduling meetings, coordinating appointments, and booking conference rooms
- Maintain organized filing systems (electronic and paper-based)
- Support various departments with administrative tasks such as data entry, document preparation, and correspondence
- Assist with onboarding new employees (preparing workstations, collecting paperwork, etc.)
- Handle basic bookkeeping tasks or support finance with invoice processing (if applicable)
Qualifications:
- Proven experience in an administrative or front desk role
- Excellent verbal and written communication skills
- Strong organizational and multitasking abilities
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment
- Friendly and professional demeanor
- High school diploma or equivalent (additional qualifications preferred)
Preferred Skills:
- Experience in customer service
- Familiarity with office management tools and basic bookkeeping software
- Ability to work independently and take initiative
