Position: Administration Clerk II – Finance

Primary Function
Support financial operations through accurate data entry and administrative tasks, following established procedures under general supervision. May recommend solutions with prior approval.

Key Responsibilities

  • Maintain confidentiality of all company and proprietary information
  • Perform receptionist duties:
    • Answer phones, greet visitors, manage mail and messages
  • Enter financial data in QuickBooks:
    • Accounts Receivable: Invoice customers, process payments
    • Accounts Payable: Record bills, issue checks
    • Reconcile inter-company accounts, make deposits, enter payroll data
  • Support HR by documenting employee requests and forwarding them appropriately
  • Ensure compliance with insurance requirements and timely payments (e.g., Workers Comp, liability, health)
  • Collaborate with departments to ensure timely and accurate financial data flow
  • Maintain organized office files
  • Perform other administrative tasks as assigned

Qualifications

  • High school diploma or equivalent
  • Minimum 2 years of office administration and financial data entry experience
  • Proficient in MS Office and QuickBooks
  • Strong written communication skills
  • Basic understanding of financial documents (e.g., balance sheets, income statements)
  • Ability to sit for extended periods
