Office Manager/Bookkeeper

Job Duties:

  • Invoicing & Receivables: Generate and send customer invoices promptly; monitor receivables and ensure timely collections.
  • Collections: Manage the collection process through direct customer follow-up and coordination of payment plans when needed.
  • Banking & Account Reconciliation: Prepare and make bank deposits; process credit card transactions.  Apply received payments to accounts.
  • Administrative Bookkeeping: Maintain accurate financial records, assist with month-end and year-end close, and support audit processes as needed.
  • NetSuite Utilization: Enter and track financial transactions, invoicing, and reporting through the NetSuite ERP system.
  • Administrative Support: Assist management with scheduling, document preparation, internal communications, and special projects.
  • Process Improvement: Identify opportunities to streamline administrative and bookkeeping procedures for greater efficiency and compliance.

Experience Required:

  • 3+ years of experience in bookkeeping, office management, or a related administrative finance role.
  • Proficiency with NetSuite or similar ERP/accounting software is required.
  • Strong understanding of accounts receivable, invoicing, and collections processes.
  • Experience with bank deposits and account reconciliation.
  • Excellent organizational and multitasking skills with a high level of attention to detail.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Ability to communicate professionally with customers and internal teams.
  • Comfortable working independently and managing multiple priorities in a fast-paced environment.
