Operations Support Coordinator (Temporary)
Location: Kenilworth, NJ
Pay Rate: $23.00 per hour
Schedule: Full-Time Temporary Assignment
Start Date: June 1st or after
Position Overview
A leading HVAC and supply distribution company is seeking a detail-oriented Operations Support Coordinator to assist with warranty processing, vendor communications, accounting support, and administrative operations. This role is ideal for someone who enjoys working with data, systems, and customer/vendor correspondence in a fast-paced office environment.
The successful candidate will work closely with multiple departments to ensure warranty claims, credits, shipping discrepancies, and documentation are processed accurately and efficiently.
Responsibilities

Verify credits and supporting documentation for the accounting department utilizing the company's ERP system

Process and submit shipping discrepancy claims by reviewing submitted forms and gathering supporting information

Communicate with vendors via email regarding claims, discrepancies, and warranty matters

Process warranty claims and submissions using internal systems and vendor portals

Track and follow up on open warranty claims until resolution

Scan, upload, and attach supporting documentation to purchase orders and customer records

Maintain accurate records within the ERP system

Assist with vendor portal submissions and other administrative projects

Answer phones and provide general office support as needed

Perform data entry, filing, and other clerical duties
Qualifications

Previous administrative, clerical, office support, or customer service experience required

Strong computer skills and ability to learn new software systems

Proficiency with Microsoft Outlook and Microsoft Office

Excellent organizational and time management skills

Strong written and verbal communication abilities

High attention to detail and accuracy

Ability to handle multiple tasks and meet deadlines

Experience with ERP systems is a plus

Experience with warranty processing, claims administration, or vendor communication is preferred
