We are seeking an experienced and highly organized Office Manager to assist & support our CEO and ensure smooth day-to-day operations. The ideal candidate is detail-oriented, proactive, and thrives in a dynamic environment. The purpose of this role is to work directly with the CEO to manage billing, payroll, schedules and communications. This role will work to coordinate and organize appointments & meetings, manage company financials and growth and much more. Your role will grow to ensure every detail of the daily duties for the CEO are coordinated between team members, clients and vendors. This is a critical role, dedicated to ensure a smooth-running process for our office and overall company. This is a highly strategic position, where tasks and routines will transition quickly and strong versatility is a must.

Primary Responsibilities
• Provide administrative support to the CEO, including email and calendar management, as well as assistance with daily tasks and long-term projects
• Manage Accounts Receivable and Accounts Payable:
• Create and send invoices
• Input bills and manage bill payments
• Track and collect outstanding payments
• Prepare and file monthly sales tax returns
• Maintain daily accounting records using QuickBooks
• Generate monthly invoices using memorized transactions in QuickBooks
• Organize and create financial reports
• Process weekly payroll and generate payroll reports through Paychex
• Prepare monthly benefit and bank reconciliation reports
• Answer phone calls and direct as needed
• File and maintain physical and digital records
• Make weekly bank deposits
• Assist in developing financial projections and forecasts
• Manage inventory for office and first aid supplies
• Help create and maintain up-to-date training materials and documentation
• Support compliance efforts for employees and clients, including OSHA, HR, audits, and client privacy
• Process new hire paperwork and onboarding tasks

Requirements
• Minimum 5 years of experience using QuickBooks
• Minimum 5 years of office experience
• Minimum 5 years of experience with Microsoft Office Suite (Word, Excel, Outlook)
• Strong communication and problem-solving skills
• Highly organized, self-sufficient, and able to manage tasks independently
• Punctual, reliable, and responsible
• Professional demeanor and leadership qualities
• Friendly, helpful attitude and attention to detail
• Must have a clean license & vehicle for bank runs and other local tasks

Schedule: Monday to Friday Hours: 8:00am to 4:00pm

Pay: $25+/hr. depending on experience
