We are currently recruiting for an ASSOCIATE DIRECTOR OF FACILITIES. This position will report directly to the Director of Facilities and will play a key role within the organization. We are looking for someone who is self-motivated and self-directed with a take charge attitude. This is a temp to perm position with opportunity of full-time hire. Experience in the entertainment industry would be a huge plus.

Salary range: $100K-$110K depending on experience.  

 

Position Summary:

The Associate Director of Facilities is responsible for providing strategic leadership and oversight for all operations and administrative services related to East Coast facilities. This role ensures that the environments are safe, efficient, functional, sustainable, and in alignment with the organization's goals and highly visible public image. This includes facilities management, project management, strategic planning, and maintenance. The Associate Director will support large-scale construction projects for developing future facilities and special events needs based on corporate growth, and technical advances. The role must actively collaborate with senior leadership, department heads, and external partners to ensure that facilities exceed regulatory standards and support organizational priorities to provide an excellent experience for staff, clients, and visitors.

Key Responsibilities:

Leadership & Strategy

  • Develop and implement a long-term facilities management strategy aligned with the team and organizational objectives.
  • Collaborate on capital planning, budgeting, and resource allocation for facilities projects.
  • Lead, mentor, and manage the facilities team, ensuring a culture of accountability, safety, and continuous improvement.
  • Manage assigned facilities projects ensuring a culture of accountability.
  • Support corporate initiatives related to construction, renovation and expansion projects for properties, maintenance, safety, and security.
  • Assure appearances of facilities contribute positively to the overall corporate business and creative experiences.

Operations & Maintenance

  • Direct daily operations of building maintenance, repair and efficient operations of building systems, custodial services, utilities, and groundskeeping.
  • Ensure preventative and corrective maintenance programs are in place to extend the lifecycle of assets.
  • Manage vendor and service provider relationships, contracts, and performance.
  • Manage the diverse portfolio of assets including specialized equipment.
  • Maintain all aspects of vendor and service providers management, including new and existing relationships, contracts, budgets, negotiations, and performance.

Project Management

  • Collaborate with architects, engineers, and contractors to ensure high-quality project outcomes.
  • Collaborate with internal stakeholders and external partners for design, construction, and renovation projects.
  • Assist in forecasting budgets, capital expenditures and tracking operational costs related to new and on-going projects.
  • Report project progress and identify issues that need immediate attention.

Sustainability & Innovation

  • Identify and apply innovative technologies to improve operational performance and sustainability.
  • Alert senior management to outside organizations successful implementations related to improvements and sustainability.
  • Manage space utilization planning to optimize efficiency and support organizational growth.

Safety & Compliance

  • Oversee inspections, audits, and corrective actions to maintain safe facilities, construction projects and events.
  • Ensure OSHA compliance, mitigation of risk and emergency preparedness planning on all projects and organization facilities.

 Qualifications:

Education & Experience

  • Bachelor’s degree in Facilities Management, Business Administration, Engineering, or related field.
  • 8–10 years of progressive experience in facilities management, with at least 5 years in a senior leadership role.
  • Demonstrated success in managing large-scale facilities, budgets, and cross-functional teams.
  • Experience with capital project planning, construction management, and vendor negotiations.

Professional Certifications

  • CFM (Certified Facility Manager), FMP (Facility Management Professional)-IFMA, or SFP (Sustainability Facility Professional)
  • Six Sigma Certification (desired)

Skills & Competencies

  • Strong leadership, project management, strategic planning, and critical thinking.
  • Excellent oral and written communication, interpersonal skills, organizational skills and follow through.
  • Proven ability to develop and implement strategic plans.
  • Knowledge of regulatory compliance, building codes, and safety requirements.
  • Confident corporate contributor able to make an immediate contribution to on-going projects and assignments.
  • Ability to navigate complex, ever-changing environments and make data driven, educated decisions while being mindful of the entire project scope including time, cost, and quality.
  • Adaptable, flexible, and accountable proven influencer.
  • Proficiency in facilities management systems, project management tools, and Microsoft Office Suite.
  • Commitment to sustainability and continuous improvement.

Work Environment:

  • Required to be in office 5 days a week. No remote or hybrid work.
  • This position requires a combination of office-based work and on-site facility inspections.
  • This role will involve overseeing projects outside of standard business hours, evenings or weekend work to support projects, emergencies, or organizational needs.
  • Overtime is required based on facility needs.
