Job Full Description
The Office Manager is responsible for overseeing the daily administrative operations of the office to ensure efficiency, productivity, and a positive work environment. This role manages office procedures, coordinates administrative support services, maintains office supplies and equipment, assists with human resources and financial processes, and serves as a key point of contact for employees, vendors, and visitors.
Key Responsibilities
Office Operations
- Manage the day-to-day operations of the office.
- Develop and maintain office policies and procedures.
- Ensure a clean, organized, and professional work environment.
- Coordinate office maintenance, repairs, and facility services.
- Oversee office security and safety procedures.
Administrative Management
- Supervise administrative staff and reception functions.
- Coordinate schedules, meetings, and office events.
- Manage correspondence, records, and filing systems.
- Maintain company documents and administrative databases.
- Support executive leadership with administrative tasks as needed.
Vendor and Supply Management
- Order and maintain office supplies and equipment.
- Manage vendor relationships and service contracts.
- Review invoices and monitor office-related expenses.
- Negotiate pricing and service agreements when appropriate.
Human Resources Support
- Assist with employee onboarding and offboarding.
- Maintain employee records and documentation.
- Coordinate training, employee engagement activities, and office communications.
- Support HR initiatives and company policies.
Financial and Budget Support
- Monitor office budgets and expenditures.
- Process invoices, purchase orders, and expense reports.
- Assist with payroll coordination and financial recordkeeping.
- Prepare administrative reports and budget summaries.
Qualifications
- 3+ years of administrative, office management, or operations experience.
- Strong knowledge of Microsoft 365 / Quickbooks.
- Excellent organizational, time management, and multitasking skills.
- Strong written and verbal communication abilities.
- Ability to handle confidential information with discretion.
