Job Description: Receptionist - Office Administrator
Position Overview
We are seeking an organized, professional, and welcoming Receptionist - Office Administrator for a premier real estate and property management client located in Bellefontaine, Ohio. This role is the face and voice of the company, blending traditional front-desk reception duties with essential office administration and property operations support. - Hours: 8:00 AM – 4:00 PM (Monday – Friday)
Key Responsibilities
Front Desk & Communication
- Answering Phones: Serve as the first point of contact for the office, professionally routing incoming calls, taking detailed messages, and addressing general inquiries.
- Calendar Management: Schedule and coordinate appointments for property viewings, maintenance technicians, inspections, and vendor meetings.
Office Administration & Compliance
- Compliance Requirements: Work closely with regulatory and compliance standards to ensure all tenant files, lease agreements, and office documentation meet industry guidelines.
- Data Entry: Accurately input tenant information, lease terms, maintenance requests, and payments into the database system.
- Office Organization: Maintain, organize, and update digital and physical filing systems for seamless retrieval.
- General Admin Duties: Handle incoming and outgoing mail, manage office supplies, greet visitors, and perform other clerical tasks to keep the office organized.
Property Management Support
- Showing Properties: Assist the leasing team by greeting prospective tenants, conducting property tours, and answering initial property questions.
- Property Manager Assistance: Provide direct administrative support to the Property Manager on daily operational tasks, special projects, and resident relations.
Qualifications & Skills
- Experience: 1–2 years of experience in a receptionist, front desk, or administrative assistant role (prior experience in real estate or property management is a plus).
- Compliance Awareness: Ability to follow strict compliance guidelines and maintain confidentiality with sensitive tenant data.
- Tech Savvy: Strong data entry skills and proficiency with Microsoft Office Suite (Word, Excel, Outlook). Experience with database or CRM systems is a plus.
- Communication: Exceptional verbal and written communication skills with a customer-first, professional demeanor.
- Organization: Strong multitasking skills, attention to detail, and the ability to manage a busy front desk.
