Office Secretary / Receptionist
Salem, OR

Pay: Starting at $17/hour
Schedule: Monday–Friday, 8:00 AM – 5:00 PM

 

A local company in Salem is seeking a reliable and friendly Office Secretary/Receptionist to support daily operations in a fast-paced environment. This is a great opportunity for someone who enjoys multitasking, problem-solving, and keeping things organized while serving as the front line of the office.


Key Responsibilities

  • Create and process invoices using QuickBooks

  • Place and track orders for parts and supplies

  • Contact vendors to locate needed items and confirm delivery timelines

  • Answer incoming calls and manage front-office communications

  • Maintain organized records and assist with general administrative tasks

  • Talk with customers to understand needs and assist with basic troubleshooting

  • Search for parts online and assist with purchasing and ordering

  • Take clear, accurate notes and relay information to the team

  • Handle multiple tasks at once and shift priorities mid-task when needed


Required Skills & Qualifications

  • Experience using QuickBooks, including invoice creation

  • Strong computer skills

  • Excellent phone skills and professional phone etiquette

  • Good handwriting and strong note-taking abilities

  • Strong vendor coordination and customer communication skills

  • Friendly, professional demeanor with the ability to adapt in a fast-paced setting

  • Detail-oriented, dependable, and well organized

  • Ability to “roll with the punches” and manage shifting priorities

  • Comfortable taking on new tasks in the middle of another
