A client of ours in West Linn is seeking a Front Desk Associate. This Client is a growing, mission-driven organization focused on delivering high-quality services while maintaining a supportive, professional office environment. They are seeking a reliable and organized Receptionist to support daily operations and administrative functions.
Key Responsibilities:
Office & Front Desk Support
- Greet and assist visitors, notify staff of arrivals
- Answer incoming calls and manage messages
- Maintain a clean and organized reception area
- Handle incoming and outgoing mail and packages
- Monitor and respond to email communications
- Manage calendars, including the monthly staff calendar
- Order and maintain office supplies, snacks, and inventory
- Track office expenses and maintain receipts
- Coordinate quarterly safety meetings and take notes
- Support scanning, filing, and document organization
- Ensure HIPAA compliance and confidentiality at all times
Administrative Support
- Send monthly progress notes to agencies and partners
- Maintain and update client records and master database
- Manage Medication Administration Records tracking and filing
- Create and maintain onboarding and orientation materials
- Coordinate employee and client birthday programs
- Assist with company communications, including newsletters
- Support process improvements and compliance tracking
Executive & Leadership Support
- Manage leadership calendars and daily scheduling
- Prepare schedules and review upcoming meetings and deadlines
- Coordinate events and assist with logistics
- Take accurate notes during meetings
- Draft professional correspondence
- Assist with travel planning
- Conduct research and present findings to leadership
- Proactively identify needs and support leadership initiatives
General Office Management
- Support day-to-day operations and administrative needs
- Maintain organization and efficiency across office functions
Qualifications & Skills:
Required Experience:
- Previous receptionist or administrative experience
- Ability to manage multiple priorities in a fast-paced setting
Technical Skills:
- Microsoft Office Suite, including Word, Excel, and Teams
- Google Workspace
- Zoom
- Adobe Acrobat
- Experience with databases or EMR systems preferred
