Location: Warrendale, PA
Hours: 8am-5pm (approximately 20-30 hours)
Position Summary:
We are seeking a detail-oriented and organized Administrative Assistant to support our Survey Department Coordinator and assist with daily office operations. This position plays a key role in communicating with residential clients, organizing project documentation, and supporting multiple departments within the company.
Key Responsibilities:
- Answer incoming calls from residential clients and gather contact information along with general project details for survey quote preparation
- Assist the Survey Department Coordinator with administrative and project support tasks
- Conduct online research to obtain property records, zoning documents, DOT plans, and other project-related documentation
- Print and organize project documents and maintain accurate job files for survey projects
- Assist with preparing project plan sets and documents for mailing or distribution
- Provide administrative support to three different departments within the company as needed
- Support the company’s primary administrative staff with day-to-day office duties
- Assist with weekly office housekeeping and maintaining an organized work environment
Qualifications:
- Previous administrative or office support experience preferred
- Strong communication and customer service skills
- Comfortable handling phone calls and interacting professionally with clients
- Proficient with computers, internet research, printing, and document organization
- Strong attention to detail and ability to manage multiple tasks efficiently
