Job Full Description
The Administrative Assistant is responsible for providing administrative support to senior management and multiple Company locations within the USA.
DUTIES & RESPONSIBILITIES
• Greet visitors in a professional manner
• Maintain visitor logs and contractor badges
• Sort and distribute mail to the appropriate personnel/department
• Answering main switchboard
• Ordering office/postage/printer and cafeteria supplies
• Coordinating UPS Shipments
• Filing documents
• Prepare correspondence and documents
• Coordinate and plan special events
• Make travel arrangements for all facilities travelers – car rentals, limo service and local hotel arrangements for incoming visitors
• Organize meetings – travel, equipment rental, catering and set up/clean up
• Preparation of high-level documents for Regional HR Business Partner, Directors and Management
• Provide administrative support to all departments
• Any other duties as assigned by manager
COMPENTENCIES & QUALIFICATIONS
- Excellent written and verbal communication skills
- Bilingual – Spanish speaking preferred
- Minimum 1 year experience in related field
- Attention to detail and organization; ability to meet deadlines
- Excellent interpersonal skills
- Proficient in Excel, Power Point and Word required; SAP knowledge preferred
