Position Summary
The Office/Finance Manager is responsible for overseeing daily office operations, financial management, and administrative support for a local commercial cleaning franchise. This role ensures smooth business operations, accurate financial reporting, and exceptional support to franchise owners and clients. The position combines office administration, accounting, and customer service to help the organization run efficiently and support continued growth.
Key Responsibilities
Office & Administrative Management
- Manage day-to-day office operations, ensuring an organized, professional, and efficient environment.
- Maintain accurate records for contracts, insurance, compliance, and franchise documentation.
- Oversee vendor relations, supply ordering, and office equipment needs.
- Support franchise owners with onboarding, paperwork, and compliance requirements.
Financial Management & Reporting
- Manage accounts payable and receivable, including invoicing, collections, and vendor payments.
- Oversee franchise billing, royalty reporting, and financial reconciliation.
- Monitor budgets, cash flow, and expenses to support business growth and profitability.
- Work with accountants, auditors, and corporate offices to ensure compliance with financial policies and tax regulations.
Customer & Franchise Support
- Provide professional support to franchisees, ensuring they have the tools, resources, and guidance needed to succeed.
- Assist with client billing questions, account updates, and service documentation.
- Handle escalated customer service issues with professionalism and efficiency.
Qualifications
- 3+ years of experience in office management, finance, or accounting (franchise or service industry experience a plus).
- Strong knowledge of bookkeeping, payroll, and financial reporting.
- Proficiency with QuickBooks, Microsoft Office, and CRM systems.
- Excellent organizational, problem-solving, and time-management skills.
- Strong leadership and interpersonal skills with the ability to build positive relationships.
- High level of integrity, confidentiality, and attention to detail.
