Position Summary
The Customer Service Representative is responsible for the processing of customer warranty and replacement orders, sales orders, resolving customer complaints, updating ERP system parameters and maintaining accurate customer, supplier and SKU information. In addition, this role will be responsible for supporting the Supply Chain team and Sales team with data processing, reconciliations, and order review.
Primary Responsibilities
Field customer calls and emails regarding, but not limited to, product inquiries, order changes or special instructions, order tracking, and order issues/errors
Facilitates resolution of material quality, documentation, or receiving/invoicing discrepancies.
Maintain files with support documentation for each customer
Communicate with customers regarding requests for pricing and availability, as well as logging order details in CRS system for capital equipment parts and services in online program
Enter customer orders into ERP System, which may either ship from stock or launches direct delivery purchase orders to suppliers
Source mechanical and electrical components for current and equipment by researching current and past suppliers, obtaining price/lead time information, and working with engineering, supply chain, technical support and service teams
Collect payment for any Cash In Advance accounts by processing payment through credit card terminal and/or working with Accounts Receivable until check/wire is received
Follows-up with suppliers during the manufacturing and delivery process ensuring client service resources and customers are kept informed on field replacement orders continually
Work actively with procurement and operations regarding proper maintenance of ERP system/SKU parameters such as safety stock, order policy codes, lead times, minimum order quantities, current price etc. to maintain system integrity
Provides data, reports, and summary metrics for RGA process, key customers, delayed/aged deliveries, and outstanding field warranty/replacement open issues
Other duties as deemed necessary
