Job Summary:
We are seeking a highly organized and detail-oriented Administrative Operations Coordinator to support key functions across multiple departments, including fleet management, IT, uniforms, and compliance. This role requires a strong ability to prioritize tasks, maintain accurate records, and communicate effectively with internal teams and vendors.
Key Responsibilities:
Fleet & Title Work:

Maintain CLC accounts and close hotel stays older than 90 days

Complete and follow up on vehicle title work and lost registration/plate issues
-
Add and maintain apportioned vehicles through the IRP website
-
Renew vehicle registrations (apportioned and non-apportioned)
-
Provide insurance company with monthly unit listings
-
Process 2290 filings and toll road payments
-
Process temporary tags and file all DOT-related unit work invoices/receipts
Compliance & Records:
-
Conduct audits of DOT physical files
-
Set up and deactivate employee emails and accounts
-
Maintain and update IT device inventory
-
Order and assign new IT equipment
-
Set up new licenses and employee credentials
Uniform Management:
-
Coordinate uniform orders with Munros and respond to order status inquiries
-
Handle uniform charge-out entries and resolve invoice discrepancies
-
Order, pick up, and distribute uniforms by department
-
Track and manage uniform inventory levels
Fuel & PIN Management:
-
Investigate and resolve issues related to fuel card usage
-
Enter new employee PIN numbers for WEX fuel cards
-
Order and issue new fuel cards as needed
Qualifications:
-
Previous administrative or operations support experience preferred

Strong organizational and multitasking skills
-
Proficient in Microsoft Office and comfortable navigating online portals (IRP, DMV, etc.)

Excellent communication and follow-up abilities
-
Ability to handle sensitive information with confidentiality
