Job Title: Administrative Assistant

Employment Type: Full-Time

 Administrative Assistant to provide day-to-day support to our team. This role is vital in ensuring smooth departmental operations, accurate recordkeeping, and effective communication between staff, customers, and external partners.

Key Responsibilities:

  • Provide administrative support to department leadership and staff.

  • Answer and direct phone calls, emails, and customer inquiries in a professional manner.

  • Prepare correspondence, reports, and presentations as needed.

  • Maintain organized filing systems, databases, and departmental records.

  • Assist with scheduling, meeting coordination, and calendar management.

  • Process invoices, purchase orders, and track departmental expenses.

  • Support compliance efforts by helping with documentation and reporting requirements.

  • Serve as a liaison between the department and other internal departments or outside agencies.

  • Perform other duties as assigned to support departmental goals.

Qualifications:

  • High school diploma or equivalent required; Associate degree preferred.

  • 2+ years of administrative or clerical experience (utility, municipal, or construction/energy industry experience a plus).

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).

  • Strong organizational and time management skills with attention to detail.

  • Excellent verbal and written communication skills.

  • Ability to handle confidential information with discretion.

  • Customer service–oriented with a professional demeanor.
