Express Employment Professionals has partnered with a national leader in fire protection and life safety services to hire a reliable and detail-oriented Administrative Assistant. This well-established and rapidly growing organization has decades of experience and is recognized as one of the nation’s leading providers of fire alarms, sprinklers, suppression systems, and security solutions, serving commercial, industrial, and construction sectors with a strong commitment to protecting both lives and property.

The Administrative Assistant will support daily operations, assist management, and ensure smooth coordination between field technicians, customers, and vendors. The ideal candidate will bring prior experience in the fire protection, life safety, construction, HVAC, plumbing, or electrical industries and thrive in a fast-paced, service-driven environment.

Pay Rate: $20.00 – $21.00 per hour depending on experience

Schedule: Monday – Friday, 8:00 am – 5:00 pm

 

Key Responsibilities:

  • Provide administrative support to branch leadership and project managers.
  • Assist with scheduling, work order processing, and coordinating technician assignments.
  • Manage incoming calls, emails, and customer inquiries in a professional manner.
  • Prepare and process invoices, purchase orders, and job-related documentation.
  • Maintain accurate records of service reports, inspections, and compliance documentation.
  • Support project coordination with contractors, vendors, and customers.
  • Handle data entry and maintain internal databases to ensure accurate job tracking.
  • Assist with payroll support, timesheets, and expense tracking as needed.
  • Perform general office duties such as filing, scanning, and maintaining organized records.

 

Qualifications:

  •  2+ years of administrative or office support experience (fire protection, safety, construction, HVAC, plumbing, or electrical industry strongly preferred).
  • Strong organizational and multitasking skills with attention to detail.
  • Experience working with work order systems, ERP software, or industry-related platforms a plus.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent communication skills (written and verbal).
  • Ability to thrive in a fast-paced, deadline-driven environment.
  • Team-oriented with a proactive and customer service mindset.
