Executive Assistant (Temporary Leave Coverage)
Reports to: Chief Executive Officer
Position Overview
This role is a temporary fill-in assignment supporting the Chief Executive Officer during an employee leave period anticipated to last approximately 8–10 weeks.
The Executive Assistant is responsible for providing high-level administrative and organizational support to the CEO. This position serves as a key point of contact for internal and external stakeholders, coordinates executive communications, manages scheduling and logistics, and supports special projects and leadership initiatives.
Key Responsibilities
- Manage the CEO’s daily workflow and calendar, ensuring awareness of upcoming commitments, priorities, and organizational matters.
- Coordinate complex scheduling, including meetings, conference calls, and travel arrangements.
- Organize and facilitate executive meetings, leadership events, and board-related activities, including logistics and preparation materials.
- Serve as liaison between the CEO and internal leadership teams, board members, vendors, clients, and external stakeholders.
- Handle internal and external communications, including screening calls and maintaining professional communication on behalf of the CEO.
- Support executive outreach initiatives and assist with special projects that may impact the organization.
- Exercise sound judgment regarding meeting and event-related expenditures within approved budgets.
- Coordinate offsite leadership meetings, including venue selection, travel coordination, and meeting logistics.
- Prepare and distribute presentations, reports, correspondence, spreadsheets, and other executive materials with a high level of accuracy and professionalism.
- Draft and edit confidential communications and executive documentation.
- Assist with preparation of leadership and board meeting materials within designated deadlines.
- Process expense reports and timesheets, including review and approvals as delegated.
- Identify opportunities to improve administrative processes, workflows, and operational efficiencies.
- Maintain filing systems, records management processes, and databases.
- Serve as the primary point of contact for administrative inquiries and support needs.
- Perform additional duties as assigned.
Qualifications
- Bachelor’s degree in Business Administration or related field preferred; equivalent experience considered.
- Minimum of 7 years of experience providing executive-level administrative support.
- Prior supervisory experience preferred.
- Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Strong knowledge of office management systems and administrative procedures.
- Excellent grammar, proofreading, and attention to detail.
- Professional demeanor with strong reliability and discretion.
- Ability to multitask and work effectively in a fast-paced environment.
- Excellent verbal and written communication skills.
Assignment Details
- Temporary assignment covering an employee leave of absence
- Estimated duration: 8–10 weeks
- Mon-Fri, 8 am to 5 pm (OT as needed). Onsite with half day Fridays.
