Job Full Description
Heating and Air is seeking a highly organized and detail-oriented Office Operations Coordinator to lead and support the daily administrative and operational functions of our office team. The ideal candidate thrives in a fast-paced environment, can manage multiple priorities under pressure, and is committed to delivering exceptional customer service.
Key Responsibilities:

Lead and support office staff with scheduling, job intake, and customer service.

Handle inbound calls, log customer issues, and assign to the correct team member.

Create and update jobs, estimates, and customer records.

Track technician time, fuel, job costs, and provide reports to management.

Ensure timely and accurate invoicing, job follow-ups, and equipment registration.

Maintain vendor and vehicle records, file key documents, and assist with payroll prep.

Monitor and improve office systems, tools, and team training.
Requirements:

Strong organizational, leadership, and communication skills.

Experience with service dispatch or administrative support (HVAC preferred).

Proficiency in CRM tools.

Comfortable with multitasking and problem-solving.
