Position Summary
We are seeking a highly organized, detail-oriented Office Assistant to support the daily operations of a busy financial services office. The ideal candidate will provide administrative and client service support, helping ensure a professional, efficient, and welcoming environment for clients and staff. This role requires strong communication skills, exceptional attention to detail, and the ability to manage multiple priorities while maintaining confidentiality.
Key Responsibilities
- Greet clients and visitors in a professional and friendly manner.
- Answer and direct incoming phone calls and respond to client inquiries.
- Schedule appointments, maintain calendars, and coordinate meetings.
- Prepare, organize, and maintain client files and office records.
- Assist with processing paperwork, forms, and documentation related to client accounts.
- Enter and update information in office databases and CRM systems.
- Prepare correspondence, reports, and other administrative documents.
- Monitor office supplies and place orders as needed.
- Manage incoming and outgoing mail, email, and document distribution.
- Support advisors and office staff with administrative projects and daily operations.
- Maintain strict confidentiality of client and business information.
- Ensure compliance with office procedures and regulatory requirements.
- Perform additional administrative duties as assigned.
Qualifications
- High school diploma or equivalent required; associate degree preferred.
- Previous administrative, customer service, receptionist, or office support experience preferred.
- Strong organizational and time-management skills.
- Excellent verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to work independently and as part of a team.
- Professional appearance and demeanor.
- Strong attention to detail and accuracy.
- Ability to handle sensitive information with discretion.
Preferred Skills
