Position Summary

We are seeking a highly organized, detail-oriented Office Assistant to support the daily operations of a busy financial services office. The ideal candidate will provide administrative and client service support, helping ensure a professional, efficient, and welcoming environment for clients and staff. This role requires strong communication skills, exceptional attention to detail, and the ability to manage multiple priorities while maintaining confidentiality.

Key Responsibilities

  • Greet clients and visitors in a professional and friendly manner.
  • Answer and direct incoming phone calls and respond to client inquiries.
  • Schedule appointments, maintain calendars, and coordinate meetings.
  • Prepare, organize, and maintain client files and office records.
  • Assist with processing paperwork, forms, and documentation related to client accounts.
  • Enter and update information in office databases and CRM systems.
  • Prepare correspondence, reports, and other administrative documents.
  • Monitor office supplies and place orders as needed.
  • Manage incoming and outgoing mail, email, and document distribution.
  • Support advisors and office staff with administrative projects and daily operations.
  • Maintain strict confidentiality of client and business information.
  • Ensure compliance with office procedures and regulatory requirements.
  • Perform additional administrative duties as assigned.

Qualifications

  • High school diploma or equivalent required; associate degree preferred.
  • Previous administrative, customer service, receptionist, or office support experience preferred.
  • Strong organizational and time-management skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to work independently and as part of a team.
  • Professional appearance and demeanor.
  • Strong attention to detail and accuracy.
  • Ability to handle sensitive information with discretion.

Preferred Skills

  • Experience working in a financial services, banking, insurance, or professional office environment.

Physical Requirements

  • Ability to sit, stand, and use standard office equipment for extended periods.
