Job Title: Registrar Specialist

Position Summary:

The Registrar Specialist plays a critical role in managing student academic records, enrollment processes, and compliance with university policies and accreditation standards. This position ensures accurate maintenance of student records, supports registration and graduation processes, and serves as a primary point of contact for faculty, students, and administrative staff regarding academic policies and procedures.


Key Responsibilities:

Student Records & Data Management:

  • Maintain and update student academic records, ensuring accuracy, completeness, and confidentiality.
  • Manage data entry for admissions, registration, grades, and transcripts.
  • Generate and provide official transcripts, enrollment verifications, and other academic documents.

Registration & Enrollment Support:

  • Assist with student course registration, adding/dropping courses, and schedule adjustments.
  • Monitor registration processes to ensure compliance with academic policies and deadlines.
  • Resolve registration issues and provide guidance to students and faculty.

Academic Policies & Compliance:

  • Ensure adherence to university policies, federal regulations (e.g., FERPA), and accreditation requirements.
  • Assist with the implementation and interpretation of academic policies.
  • Support degree audits, graduation certification, and course catalog updates.

Communication & Customer Service:

  • Serve as a resource for students, faculty, and staff on registration, academic records, and procedures.
  • Respond promptly to inquiries via email, phone, or in person.
  • Collaborate with other departments to support student success initiatives.

Reporting & Analysis:

  • Prepare reports on enrollment, retention, graduation rates, and other academic metrics.
  • Assist in audits, compliance reviews, and institutional research projects.

Qualifications:

Education & Experience:

  • Bachelor’s degree in Education, Business, Administration, or related field preferred.
  • Minimum of 2 years of experience in higher education registrar or student services roles.

Skills & Competencies:

  • Strong knowledge of academic policies, procedures, and student information systems (e.g., Banner, PeopleSoft, Ellucian).
  • Excellent organizational, analytical, and problem-solving skills.
  • Exceptional communication and customer service abilities.
  • High level of accuracy and attention to detail.
  • Ability to handle sensitive and confidential information with discretion.
