Job Summary

The Customer Service Representative (CSR) is the primary link between our customers across the Americas (North, Central, and South) and our internal operations. This role is responsible for the end-to-end order lifecycle—from initial quotation and SAP entry to coordinating with manufacturing and shipping to ensure timely delivery.

 

 

Essential Functions and Responsibilities

Order Management & SAP Entry:

  • Process and enter new customer orders into SAP, ensuring 100% accuracy in pricing, quantity, and product specifications.
  • Respond to all orders with confirmed delivery dates for the same business day.
  • Manage order changes, cancellations, and price verifications via phone and email.

Supply Chain & Operations Coordination:

  • Collaborate with Production Planning and Manufacturing leadership to ensure orders meet customer specifications.
  • Work closely with the Supply Chain team to expedite shipments and monitor specific high-priority accounts.
  • Review shipping schedules and delivery reports to proactively resolve potential delays.

Data & Account Maintenance:

  • Maintain "Customer Master Data" in SAP, including pricing, part numbers, and contact information.
  • Partner with Accounting to establish new accounts and resolve invoice discrepancies or credit disputes.
  • Administer price increase notifications in coordination with the Sales team.

Demand Planning Support:

  • Review customer forecasts and provide data to the Supply Chain Manager for the demand system.
  • Monitor unsecured forecasts and proactively contact customers to secure orders.

Cross-Functional Coordination:

  • Actively coordinates activities with the Sales, Production, Shipping, and Credit departments to ensure seamless order fulfillment and customer satisfaction.

Supervision:

  • Supervision Received: General supervision in the performance of routine duties with broad discretion within the field. Direct supervision regarding unusual problems, emergency situations, and procedures. This role has no supervisory responsibilities.

Minimum Qualifications

  • Work Experience: Solid professional experience in a fast-paced environment. Manufacturing or sales support experience is a plus; reliability and a "can-do" attitude are essential.
  • Education: Bachelor’s Degree preferred; or an equivalent combination of education and professional experience.
  • Technical Proficiency: Strong computer literacy with high-level proficiency in Microsoft Excel. Experience with SAP or SAP Fiori is preferred.
  • Remote Work Readiness: Ability to work independently in a remote environment. Must maintain a dedicated home workspace with reliable high-speed internet (at the candidate’s expense). Company provides PC/Hardware.
  • Communication: Professional verbal and written skills required. Demonstrated ability to build relationships with internal departments and external clients.

Work & Shift Requirements

  • Shift Schedule: Ability to work Monday–Friday, ending at 4:00 PM PST. Depending on the selected lunch duration (30 or 60 minutes), the daily start time is 7:00 AM or 7:30 AM PST.
  • Physical Requirements: Primarily sedentary involving extended periods of sitting and computer use. Ability to operate standard office equipment and occasionally move items related to a home office setup.
  • Flexibility: Must have the ability to adjust work hours and work occasional overtime as necessary to meet the shifting demands of the business.
  • Reliability: Consistent attendance and the ability to work all scheduled shifts are essential functions of this position.
