Job Title: Office Manager

Location: Morgantown, WV
Job Type: Full-Time
Schedule: Monday–Friday, 8:00 AM – 5:00 PM (occasional after-hours support as needed)


Position Summary:

We are seeking a highly organized, detail-oriented Office Manager to join our growing team in Morgantown, WV. As the Office Manager, you will be the central hub for day-to-day administrative operations in a fast-paced cleaning and restoration environment. This role requires strong communication skills, excellent multitasking abilities, and a proactive approach to problem-solving. You'll be working closely with field technicians, clients, and vendors to ensure projects run smoothly from start to finish.


Key Responsibilities:

  • Administrative Oversight:

    • Manage daily office operations and provide administrative support to the management and field teams

    • Answer phones, schedule appointments, and coordinate job dispatching

    • Maintain organized electronic and paper filing systems

  • Customer Service:

    • Serve as the primary point of contact for customers, providing timely and professional communication

    • Handle inquiries, complaints, and follow-ups with care and professionalism

  • Scheduling & Coordination:

    • Schedule field technicians for cleaning and restoration jobs

    • Coordinate equipment rentals, deliveries, and job site logistics

  • Billing & Record-Keeping:

    • Assist with invoicing, job costing, and payroll coordination

    • Track expenses, time sheets, and supply inventories

  • Compliance & Documentation:

    • Maintain job documentation and ensure accurate record-keeping for insurance and compliance requirements

    • Support project managers in preparing reports and submitting claims

  • Team Support:

    • Help onboard new employees and support HR functions such as training documentation and safety tracking

    • Foster a positive, productive office environment


Qualifications:

  • 1+ years of experience in office administration (experience in cleaning/restoration industry preferred)

  • Excellent organizational and time management skills

  • Strong written and verbal communication

  • Proficient in Microsoft Office (Word, Excel, Outlook); experience with job management software (e.g., Jobber, Xactimate, or similar) is a plus

  • Ability to multitask in a fast-paced environment and adapt to changing priorities

  • High school diploma or equivalent (Associate’s or Bachelor's degree a plus)
