Senior Administrative Assistant

Pay: $27 - $32/hour
Overview:
Our client is seeking a highly organized, self-motivated Administrative Coordinator to support daily office operations and special projects. This individual will manage confidential and time-sensitive information, coordinate with customers, vendors, contractors, and internal teams, and ensure multiple projects are completed accurately and on schedule. The ideal candidate is detail-oriented, thrives in a fast-paced environment, and can work independently with minimal supervision.
Key Responsibilities
- Manage multiple administrative projects and priorities while meeting deadlines.
- Answer incoming phone calls, emails, and customer inquiries professionally.
- Maintain confidential records, office files, and administrative documentation.
- Provide administrative support to management and assist with daily office operations.
- Coordinate with customers, vendors, contractors, and on-site personnel.
- Track project progress and provide status updates to management.
- Participate in company training and assist with additional projects as assigned.
Department-Specific Responsibilities
New Homes
- Coordinate documentation for new home projects.
- Communicate with vendors, contractors, and internal teams regarding scheduling, transportation, and installations.
- Maintain accurate project files and update New Home Tracking spreadsheets.
Escrow & Loan Processing
- Assist with opening escrows and monitoring loan processing.
- Track loan conditions and maintain organized transaction files.
- Prepare Dealer Reports of Sale and coordinate document distribution.
Marketing
- Create marketing flyers and promotional materials.
- Manage online listings and marketing posts.
- Collect and distribute weekly open house schedules for sales agents.
Service
- Prepare and submit service requests to manufacturers and contractors.
- Monitor outstanding service cases through completion.
- Communicate with customers and vendors regarding service updates.
Technical Skills
Proficiency with Microsoft Office, including:
- Outlook
- Teams
- Word
- Excel
- PowerPoint
Physical Requirements
- Sit and work at a computer for extended periods.
- Walk and stand as needed throughout the workday.
- Bend, reach, stoop, kneel, and lift office materials or file boxes when necessary.
