Operations Support Coordinator

Duties & Responsibilities

Project & Shipping Support

  • Review data files to determine daily shipping requirements for market research projects.
  • Prepare, package, and ship materials to physicians and healthcare professionals in a timely and accurate manner.
  • Receive and process incoming project materials, including completed surveys, charts, and feedback forms.
  • Scan documents to ensure quality and accuracy before uploading them to designated systems and platforms.
  • Verify all received materials are complete, properly documented, and accurately filed.

Workflow & Project Coordination

  • Support process improvements to increase efficiency and reduce project turnaround times.
  • Communicate shipment status updates to the outreach team.
  • Collaborate effectively with team members to ensure project goals, timelines, and expectations are clearly understood.
  • Monitor project progress and adjust priorities as needed to meet deadlines.
  • Ensure all assigned tasks are completed accurately and within established timeframes.

Team & Professional Development

  • Maintain a positive, professional, and team-oriented work environment.
  • Encourage collaboration, communication, and knowledge sharing among team members.
  • Identify and communicate potential challenges or barriers that could impact project success.

Qualifications & Skills

Required Skills

  • Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word.
  • Excellent written and verbal communication skills in English.
  • Strong customer service and interpersonal skills.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong organizational and time-management skills.
  • Self-motivated with the ability to work independently and as part of a team.
  • Proactive problem-solving skills and the ability to identify and communicate potential issues.

Preferred Qualifications

  • Previous administrative or office support experience.
  • Experience in market research, healthcare, or a related industry is preferred but not required.

Schedule

    • Monday through Friday
    • Temporary position only while someone is on leave
    • 8:00 AM – 5:00 PM
    • In-office position at the local office
