Job Full Description

Office Admin/Dispatcher - HVAC Company - Gautier, MS 

Key Responsibilities:

 Duties:

  • Schedule and dispatch HVAC technicians to service calls, maintenance appointments, and installations.

  • Monitor technician availability and location using GPS and software tools.

  • Communicate job details and customer concerns to technicians.

  • Adjust schedules throughout the day based on emergencies, cancellations, or delays.

  • Coordinate parts delivery or pickup as needed.

Administrative Duties:

  • Answer incoming calls and respond to customer inquiries in a professional and friendly manner.

  • Create and maintain accurate customer records, service histories, and job files.

  • Process work orders, invoices, and payments.

  • Assist by tracking technician hours and job completions.

  • Order office and job-related supplies as needed.

  • Assist management with reports, scheduling, and other administrative tasks.


Qualifications:

  • High school diploma or equivalent; Associate’s or Bachelor's degree preferred.

  • Prior experience in an HVAC, plumbing, or service-based industry preferred.

  • Familiarity with dispatch software (e.g., ServiceTitan, Housecall Pro, FieldEdge, etc.) is a plus.

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).

  • Strong multitasking and organizational skills.

  • Excellent phone etiquette and interpersonal communication.

  • Ability to remain calm under pressure and prioritize urgent tasks.


Work Schedule:

  • Monday to Friday, 8-5:30pm (possibility to work later some evenings once peak season arrives - 7:30pm)
