The Receptionist serves as the first point of contact for clients and visitors, providing exceptional customer service and administrative support in a professional and confidential environment. This role plays a critical part in creating a welcoming atmosphere and ensuring the smooth daily operations of the wealth management office.
Key Responsibilities:

Greet and welcome clients and visitors with professionalism and courtesy.

Answer, screen, and direct incoming calls in a timely and friendly manner.

Manage appointment scheduling and maintain conference room calendars.

Prepare and manage client meeting materials as requested by advisors.

Handle incoming and outgoing mail, packages, and courier deliveries.

Maintain a clean, organized, and professional reception area, stocking self serve beverage area.

Assist with onboarding and processing of new client documentation.

Provide administrative support to advisors and office staff, including data entry, filing, and maintaining records.

Monitor office supplies and coordinate restocking or procurement.

Ensure adherence to compliance and confidentiality standards.

Support planning and execution of client events and meetings.

Perform other duties as assigned to support overall office efficiency.
Qualifications:
-
High school diploma or equivalent required.
-
1–3 years of receptionist, administrative, or client service experience, ideally in a financial services or wealth management setting.

Strong interpersonal and communication skills, both verbal and written.

Professional appearance and demeanor.
-
Excellent organizational skills with the ability to multitask and prioritize.

Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
-
High level of discretion and confidentiality. Background check required.

Ability to work independently and as part of a team.
