The Receptionist serves as the first point of contact for clients and visitors, providing exceptional customer service and administrative support in a professional and confidential environment. This role plays a critical part in creating a welcoming atmosphere and ensuring the smooth daily operations of the wealth management office.


Key Responsibilities:

  • Greet and welcome clients and visitors with professionalism and courtesy.

  • Answer, screen, and direct incoming calls in a timely and friendly manner.

  • Manage appointment scheduling and maintain conference room calendars.

  • Prepare and manage client meeting materials as requested by advisors.

  • Handle incoming and outgoing mail, packages, and courier deliveries.

  • Maintain a clean, organized, and professional reception area, stocking self serve beverage area.

  • Assist with onboarding and processing of new client documentation.

  • Provide administrative support to advisors and office staff, including data entry, filing, and maintaining records.

  • Monitor office supplies and coordinate restocking or procurement.

  • Ensure adherence to compliance and confidentiality standards.

  • Support planning and execution of client events and meetings.

  • Perform other duties as assigned to support overall office efficiency.


Qualifications:

  • High school diploma or equivalent required.

  • 1–3 years of receptionist, administrative, or client service experience, ideally in a financial services or wealth management setting.

  • Strong interpersonal and communication skills, both verbal and written.

  • Professional appearance and demeanor.

  • Excellent organizational skills with the ability to multitask and prioritize.

  • Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).

  • High level of discretion and confidentiality. Background check required.

  • Ability to work independently and as part of a team.


Working Conditions:

  • Full-time, on-site position.
