Job Full Description

Position Summary:
The Office Manager will be responsible for managing administrative tasks, customer communications, invoicing, and supporting the leadership team with financial tracking and reporting. The ideal candidate has a strong background in office management and bookkeeping, with hands-on experience using QuickBooks Desktop or Online.

Key Responsibilities:

  • Oversee daily office operations and administrative staff (if applicable)

  • Manage accounts payable and receivable using QuickBooks

  • Prepare and send invoices, process payments, and reconcile bank statements

  • Track job costs, inventory, and vendor purchases

  • Maintain accurate financial records and assist with month-end reporting

  • Handle customer service calls and scheduling of service technicians

  • Order office and shop supplies as needed

  • Support management with reports, HR paperwork, and general operations

Qualifications:

  • 3+ years of office management or administrative experience

  • Proficiency in QuickBooks (required)

  • Strong organizational and multitasking skills

  • Excellent communication and customer service skills

  • Comfortable working in an industrial or service-based environment

  • Proficient in Microsoft Office (Excel, Word, Outlook)

  • High school diploma or equivalent required; Associate’s or Bachelor's degree in Business or Accounting a plus
