Position Summary
Seeking a professional and detail-oriented Administrative Assistant to support daily office operations and provide administrative assistance to staff. The ideal candidate will possess strong organizational skills, excellent communication abilities, and the ability to manage multiple tasks in a fast-paced office environment.
Essential Duties and Responsibilities
- Greet clients and visitors in a professional and courteous manner.
- Answer and direct incoming phone calls, emails, and correspondence.
- Schedule appointments, meetings, and maintain office calendars.
- Prepare, organize, and maintain client files, records, and documentation.
- Assist with data entry, document processing, and general administrative tasks.
- Manage incoming and outgoing mail, packages, and office communications.
- Coordinate client information and document collection.
- Maintain office supplies inventory and place orders as needed.
- Assist with billing, invoicing, and other clerical support functions.
- Ensure confidentiality of sensitive client and business information.
- Perform filing, scanning, copying, and document management duties.
- Support management and staff with special projects and administrative needs.
Qualifications
Required
- High school diploma or GED.
- Previous administrative, clerical, receptionist, or office support experience.
- Proficiency with Microsoft Office Suite, including Word, Excel, and Outlook.
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Ability to maintain confidentiality and professionalism.
